Qualifications:
Minimum Education: High School diploma.
Minimum Experience: Previous billing experience.
Minimum skills/abilities: Computer software competencies (Word processing, ability to quickly learn scheduling, and charge entry systems). Good organizational skills. Candidate is able to return to tasks and follow-up on issues requiring multiple interventions.

I. Position Function: Performs prior authorization and billing functions for Department of Surgery and Anesthesia Services. Assist anesthesiology staff and residents with clinical and academic secretarial work. Will provide Surgical and Anesthesia front-end billing support/concurrency resolution..
II. Job Relationships: Reports to the Director of PeriOperative Services. Works closely with CAPA Administrative Manager and the Patient Care Director of PeriOperative Services. Provides collaborative support to both departments, and Residents. Collaborates with staff of Admitting, Physician Practice support and St. Elizabeth's billing Department to correct any errors or supports billing investigations. Will collaborate with both Plexus Management and IS hospital base.

Daily Operating Room Duties
Is the lead person on all anesthesia clinical schedules for both the anesthesia staff and the residents. Assures authenticity on a daily basis, making all necessary changes in case of resident rotation changes or illnesses. Creates for and updates the hospital operators. Prepares day sheets for scheduling of anesthesia staff and residents in the operating room.
Confirms with Anesthesia Coordinator/staff/residents of all patients with special medical problems in order to coordinate smooth transition to the operating room.
Reviews current procedures and protocols involving anesthesia and updates records for preadmission testing, organ donation, special transfusion requests, etc. Identifies payer information for daily anesthesia scheduling.
May be called upon to help interpret policies.
Assists with the creation of daily anesthesia roster for clinical anesthesia coordinator. Organizes preadmission testing information.
Initiates anesthesia medical record review every six months to ensure compliance.
Directly responsible for accurate patient registration information. Ensures that problematic registrations through admitting/and or billing areas are corrected. The coordinator will requests assistance of clinicians and Directors as needed.
Ensures that services are pre-authorized as required by payers.
Obtains pre-authorizations/approvals for outpatient services as needed. Collaborates with outpatient coordinator to clarify status of self-pay cases when authorization for payment cannot be obtained. Communicates with patients when necessary.
Confirms ongoing authorization for treatment and obtains continuing authorization. If Clinician involvement is required, informs clinician of necessary actions they must take. Obtains support of Outpatient Coordinator if problems arise.
Enters facility charges electronically. Runs a reconciliation report on a daily basis.
Participates in charge capture and reconciliation process to insure that all services provided are billed for.
Communicates effectively with staff from other departments within St. Elizabeth's Medical Center.
Communicates effectively with persons outside St. Elizabeth's Medical Center.
Participates in the ongoing improvement of billing and charge capture standards and procedures. Creates written documents to facilitate documentation of standards.
Utilizes IDX scheduling system for desk coverage and billing functions.
Performs other duties as assigned to support Department functioning.
3) Communications.
- Takes lead in Operating Room communications for the Department of Anesthesiology & Pain Medicine. Assists coordinator in placing anesthesia staff and residents in rooms, relaying obstrical requests and off-site requests/consults to coordinator, and relaying messages to staff.
- Manages communications for approximately 13 staff and 30 residents.
- Assists Anesthesia Manager and Education Coordinator with phone answering when needed.
4) Front-end Practice and Hospital Billing.
Daily front-end billing of all anesthesia-related patient procedures for both anesthesia practice and hospital, solving concurrencies, and preparing statements for billing offices. This includes general operating room, obstetrical cases, anesthesia pain service (acute pain service), minor operations, ECT, off-site services (lithotripsy, radiology, intubations and consults, lumbar puncture, epidural blood patch, etc.) (Approximately 1400 cases per month).
5) Operating Room Data
Using Meditech system, reports OR usage for billing purposes.
Compiles data for hospital as to drugs and lines used during anesthesia.
Verifies preliminary billing charges and number of cases for all surgical procedures for Operating Room Manager on a daily basis
Runs reports for operative services based on surgical cases
Initiates process to attach billing codes to all surgical procedures
Captures charges with zero dollar amount; researches the correct charge amount.
Compiles the peripheral block data, ensuring all necessary forms are available for data entry and quality assurance.
6) Compiles data (log tabulations) on all open-heart cases, pain cases, and epidural placement and duration.
7) Reconciles Meditech logs with Nursing as to Pre- and Postoperative Diagnosis and type of procedures performed, both in main OR and Obstetrics.
8) Works closely with CSEMC and PLEXUS to create resolutions to problems and implement changes in front-end billing.
9) Assists the physician staff, fellows, anesthesia manager, education coordinator, OR manager, and residents with secretarial duties.
10) Is back-up to OR when OR front-desk secretary is absent
11) Is back-up for Anesthesia Educational Coordinator
B. Responsibilities/Non-Essential Functions:
- Helps to ensure that business machines function,
- Monitors level of supplies, judiciously requests that materials be ordered.
- Manages on-call room for staff, residents, and moonlighters.
- Maintains and distributes meal tickets for resident staff
- Compiles all CME credits for staff. Initiates sign-in sheets for every CME-accredited conference
- Plans department social functions
V. Reporting Requirements: Chair of Anesthesia Department, Director of PeriOperative Services. Provides reconciliation reports and informal verbal reports on billing/charging activities.
VI. Accountability: Accountable for accurate billing functions.
