Position Summary

Operations Manager Job Description

Field Supervision

  • Directly manage the Field Supervisory team.
  • Ensures Field Supervisor team is adequately trained, receives ongoing training/development and refresher training on an as-needed basis.
  • Ensures all Field Supervisors are trained at every single security post; maintain list of said training.
  • Responsible for maintaining and updating Field Supervisor training manual. Provide yearly training/review of manual.
  • Responsible for training all new Field Supervisors, to include OJT and all associated training.
  • Responsible for weekly Schedule and Payroll of Field Supervisory team.
  • Responsible for maintaining all mobile patrol beats and ensure all contractually obligated patrol inspections are completed on a daily and weekly basis.
  • Conduct yearly performance reviews on all Field Supervisors, to include merit increase recommendations.


Fleet Management


  • Manage all fleet vehicles to ensure proper maintenance and service.
  • Conduct weekly audits of NexTraq in-dash camera system to ensure proper oversight and management of security officer driving habits. (Coaching, Counseling, and disciplinary process included).

Scheduling

  • Maintains Company Standards for Non-Billable Overtime performance through effective advanced scheduling and supporting recruitment strategies in conjunction with Branch Management.
  • Working Collectively with Branch Management in identifying and backfilling scheduled openings.
  • Always maintains site coverage; tracks requests for time off including vacation and personal leave requests to ensure site coverage; (escalating to Branch manager for approval).
  • Responsible for staffing all jobs and does not turn down any jobs and displays a positive, willing attitude when staffing jobs at the last moment. (With assistance from Branch managers and VP of Operations.


  • Ensures that an adequate on call security force is available to cover vacancies created by absences and call-offs. Communicates ahead of time, with Branch Managers and identifies staffing needs in a proactive manner.
  • Responds to emergency situations, call-offs, no-call no-shows, and absences to make sure client sites have coverage.
  • Briefs and provides documentation to all management on changes to posted schedules and new security officer schedules.
  • Working Collectively with Branch Management to ensure all security officers are trained on attendance recording, utilizing Valiant Trackforce for proper logging of digital timesheet (Clocking in/out of shifts, Logging Meal and Rest Periods)


Payroll

  • Working collectively with Field Supervisors and Branch Management, ensures all timesheets from every site is collected prior to submission of payroll.
  • Working collectively with Branch Management, ensures all timesheets are accurately entered into Valiant and shifts are confirmed.
  • Working collectively with Branch Management, and utilizing the various platforms available, ensure all missed rest/meal periods are investigated, corrections made (if needed), and/or missed rest/meal period penalties are entered into the payroll system for processing.
  • Working collectively with Branch Management, ensures payroll is complete and free of errors. Shall submit payroll detail report to each Branch Manager and receive confirmation all is correct. Once this process is followed, inform VP of Ops payroll is complete for remotely managed sites.
  • Upon conclusion of payroll, ensure all timesheets are submitted to office manager for record keeping, audit and storage.

Billing

  • Working collectively with Branch Management, ensures billing is complete and free of errors. Shall submit billing reports to each Branch Manager and receive confirmation all is correct. Once this process is followed, provide billing reports to payroll department for invoicing.


Branch Management Support

  • Develop and maintain effective relationships with all officers and serve as the liaison between Branch Management and our assigned staff.
  • Maintain thorough knowledge and understanding of post specifications, post orders, instructions, patrol areas, zones, emergency procedures, staffing requirements/priorities, client policies and procedures.
  • Contributing to development of effective communication methods to support Branch Managers and remote managed business.
  • Assisting the organization with staff training, implementation of training plans roll out, software/technology implementation, functionality, and oversight.
  • Maintains current knowledge of site requirements, security officer training, availability and time worked, and account master list.
  • Developing and maintaining effective, sound and healthy communication with the ranges of all levels within the company including customers and suppliers.
  • Review reports on incidents and assist Branch managers with investigations of incident detail.
  • Assist with Recruitment, training and provide additional layer of management of security officers
  • Attend management weekly meetings with to discuss and determine operational needs.
  • Create weekly report summary for VP of operations regarding operational summary.

Qualifications

  • Management or supervisory experience in office administration or related field
  • Experience supporting multiple personnel in an office and/or operational environment
  • Work experience to include the demonstration of: Proficiency in Microsoft Excel and Word and other server/cloud-based applications such as PeopleSoft Human Resources, Oracle, etc.
  • Interaction and support with client concerns and inquiries
  • Assistance with vendor-based relationships and concerns; working knowledge of Supply Management, P2P systems, or similar vendor interactions
  • Knowledge of and experience with time and attendance tracking
  • Experience managing a team in attaining established objectives – both financial and operational
  • Excellent skills in mathematics, reading comprehension, and oral and written communication
  • Working knowledge of the Fair Labor Standards Act (FLSA)and other employment-related laws
  • Ability to read, compile and interpret business reports and use extrapolated data to proactively effect financial budgets and other goals
  • Knowledge of fleet and asset management
  • Possess and maintain a valid guard card along with a current driver’s license from the state employed for any driving supervisory position. Clean driving record subject random DMV Pull Program
  • Positive attitude, outstanding customer service skills, great people skills, and career-oriented.
